- Develop a detailed, personalised understanding of each Director¿s working methods and requirements and respond with a tailored individual secretarial service.
- Fully proactive management of GM diary, produce weekly movements schedule for Leadership Team, group calendar management and appointment management.
- Fully proactive management and co-ordination of the Spanish Business Planning calendar. Independent and trustworthy representation and decision-making on behalf of Director¿s in their absence.
- Receiving and fielding of telephone calls and queries ¿ respond to and take messages, monitor voicemail, re-direct cold callers and return calls in a timely manner to ensure callers receive an excellent level of customer service in the absence of senior management
- Proactive organisation of domestic and International travel arrangements and all associated requirements, according to Company Travel Policy, for the GM and their visitors. Ensure plans are fully co-ordinated with any travel arrangements for the other members of the Spanish and Portuguese Leadership team.
- Liaise, co-ordinate and synchronise travel and meeting arrangements with secretaries for other Countries.
- Specialised typing and filing - reports and correspondence, dealing with a high volume of confidential work
- Composition of letters and filtering of information for GM to ensure only essential information is forwarded - e-mail and correspondence.
- Provide PA cover for other members of the Leadership Team where necessary.
-Actively participate in planning, organising and co-ordinating on and off-site meetings and conferences.
Mínimo: - Bilingual in English (this requirement is absolutely necessary. Those candidates who do not have this level, please, be so kind to refrain of sending your candidature).
- 2+ years experience of a similar Personal Assistant role, assisting a Company Director + Senior Management Team, preferably within a large company.
- 5+ years total secretarial experience, including grammatically accurate and efficient audio/copy typing skills dictation and shorthand.
- Administrative qualification
- Competent and comprehensive knowledge of MS Office, especially Excel (Intermediate), PowerPoint (Intermediate) and Word (Advanced), Outlook or equivalent e-mail system.
- Impeccable planning, organisational and administrative skills.
